Inviting someone — email, role, brands. Done.
Send an invite in three fields — email, role, and which brands. Your teammate gets one link that logs them in; there's no separate accept step. Plus pending invites, resend, and removing people.
Inviting someone takes about ten seconds: their email, a role, and which brands they should see. Here's the whole flow, plus what to do with a pending invite and how to change or remove someone later.
Before you invite
Two things have to be true:
- You're an Admin or the Owner. Editors and Viewers can see the team but can't invite. See roles & permissions.
- You have a free seat. The Members card shows
used of available. If you're at the limit, free one up or add seats — see seats & buying more.
Sending an invite
On the Team page, the invite form asks for three things:
- Email — the address the invite is sent to. It has to be exact.
- Role — Admin, Editor or Viewer. (You can't invite someone as Owner.)
- Brands — tick the brands this person should be able to work on. Leave it empty and they get all of your brands. This is their brand access, and you can change it later.
Send it, and their row appears in the members list marked Pending.
What lands in their inbox
They get an email from ScoutRival with a single link. There's no separate "accept invitation" screen to find — the link does everything: it signs them in (or sets them up) and drops them straight into your account. If the email doesn't arrive, it's almost always a typo in the address or a spam filter — the fixes are on team troubleshooting.
New teammate vs existing user
The link behaves differently depending on whether the person already uses ScoutRival:
- New to ScoutRival — the link opens a short page to set their name and a password, then lands them in your account.
- Already has an account — the link logs them straight in. They keep their own workspace, and your account shows up under the Workspace switcher at the top of the app — they flip into yours from there.
Pending invites
A member is Pending from the moment you invite them until they follow the link and log in. Two things to know about pending invites:
- They hold a seat. A pending invite counts against your seat limit exactly like an active member. If you're out of seats, a stale pending invite is often the reason.
- You can Resend or Cancel. Resend sends a fresh link (handy if the first got lost), keeping the role and brand access you chose. Cancel withdraws the invite and frees the seat.
The invite goes to the exact address you type — a typo means no email arrives and a seat sits stuck on "pending". Cancel it and re-invite the correct address.
Changing a role or brand access
Once someone's on the team, their row has controls to change their role and to open a drawer that adjusts their brand access. Changes take effect immediately — no re-invite needed. You can't raise anyone to Owner, and only Admins and the Owner can make these changes.
Removing a teammate
The remove control on a member's row takes them off the team and frees their seat straight away. They lose access to your account immediately, but anything they created — posts, articles, competitor notes — stays in your account. The owner can't be removed.
