Team troubleshooting — what went wrong, and the fix.

Seat limits, invite emails that vanish, a teammate who can't edit or can't see a brand, credits draining faster than expected — every common team problem, with its cause and its fix.

The things that actually go wrong with teams, and how to fix each one.

"You've used all your plan's seats"

You're at your seat limit. Remember that you count and that pending invites hold a seat — an old, never-accepted invite is the usual culprit. Cancel a stale pending invite, remove someone you no longer need, upgrade a tier, or, on Agency, add seats.

The invite email never arrived

Almost always one of two things: a typo in the address (the invite went nowhere), or a spam filter. Check the exact address on the pending row, ask them to look in spam, then hit Resend for a fresh link. If the address was wrong, Cancel the invite and re-send to the correct one.

"Already a member"

That email is already on your team — either an active member or a pending invite. Check the members list; if it's a pending invite you'd forgotten, you can Resend or Cancel it from there.

A teammate can't edit anything

They're a Viewer — read-only by design. Change their role to Editor (or higher) on their member row. See roles & permissions for exactly what each role unlocks.

A teammate can't see a brand

Their brand access is limited to specific brands and this one isn't in the list. Open the brand-access drawer on their row and add the brand — or clear the list to give them all brands. See limiting someone to one brand.

A teammate can't change billing or add seats

That's working as intended — only the Owner can touch billing, plans and seats. Admins run everything else, but the plan and the card belong to the owner alone.

An existing ScoutRival user can't see my account

Someone who already had their own ScoutRival account keeps it — accepting your invite doesn't replace their workspace. Your account appears under the Workspace switcher at the top of the app; ask them to open it and switch into your workspace. If it's not there, resend the invite and have them follow the link again.

Credits ran out faster than expected

Teammates spend from your shared wallet — every post, article and audit an Editor or Admin runs comes out of your monthly credits. Open Usage & Activity to see who spent what. To limit spend, move people to Viewer (read-only, spends nothing) or narrow their brand access.

What a removed teammate loses

Removing someone ends their access to your account immediately and frees their seat. Everything they made — drafted posts, articles, competitor notes — stays in your account; nothing is deleted with the person. The owner can't be removed.

If a team problem doesn't fit any of these, email [email protected] with the teammate's email and what you're seeing, and we'll sort it.
